Your records storage boxes are identified by barcode only, and your boxes are separated and stored in different locations throughout our record center. No one can identify your company’s records just by looking at the boxes on our shelves. The location of each box is recorded in our records management software so the retrieval process is quick, but your information stays secure.

The Record Centre: How It Works

FIRE SAFETY. We designed our entire building to reduce the risk of fire, with carefully spaced racking and aisles, special lighting, and electrical outlets to minimize any risks to your documents and keep them safe long term.


TOTAL SECURITY. Our record centre uses interior and exterior security cameras, multiple secured entry doors, and monitored security systems. We only grant access to pre-approved individuals who have signed confidentiality agreements, and a separate and secure room is provided where they can review documents.


RACKING & STACKING. We use specially designed, high density document storage shelving, strong and sturdy boxes, and special stacking techniques to keep your documents from being destroyed or lost due to crushed boxes or collapsed lids.


TECHNOLOGY. Each client is given access to our document management software for continuous tracking of your files. Every type of record-file, box, or digital media-gets a unique bar code so you can find records quickly, provide an audit trail, assign retention schedules, schedule destruction, and much more.


VEHICLES. Our GPS tracked, alarmed fleet of delivery trucks uses auto-locking technology to secure your records when the driver steps away. Whether it's after-hours or on a weekend or holiday, you can have your documents delivered in as little as an hour.


STAFF. Our employees are rigorously trained, background-checked, uniformed, and badged. We follow strict chain of custody procedures and only deliver documents to authorized personnel within your organization. The movement of your files is continually tracked and recorded for total information security.

File Indexing Services 

When sending your records off-site two parts of the service are vital: storage and retrieval. To meet these needs, Allied Infotech offers file indexing to help you catalogue your items, files, and information.  Our indexing services include our employees barcoding the box for reference, opening each box, recording the files, and repacking the box.  All information indexed can be accessed with our secure online web portal. After reviewing your retention needs, we will transport your records to our office. Index fields include: 

  • File type 
  • Department
  • Date range
  • Retention period
